AI Data and Contact Policy

Effective Date: November 6, 2026

This AI Data and Contact Policy explains how Local AI Hero ("Local AI Hero," "we," "us," or "our") collects, uses, keeps, and protects information that passes through the AI systems we operate as part of localaihero.com, audit.localaihero.com, app.localaihero.com, and our done-for-you AI services (collectively, the "Services").

This Policy adds detail about AI processing, call recording, and contact with callers and website visitors. It does not replace our Terms of Service or our Privacy Policy. Terms used here, such as "AI Receptionist," "AI Employee," "End Customers," "Customer Materials," "Customer Data," "AI Outputs," "Platform," and "Intake," have the meanings given in Section 1 of the Terms of Service. If this Policy and the Terms of Service or Privacy Policy conflict, the Terms of Service and Privacy Policy control.

1. Who This Policy Covers

This Policy applies to:

  • Business customers who buy the AI Receptionist or the AI Employee.
  • End Customers, meaning the callers, website visitors, and leads who talk or chat with the AI systems we operate for a business customer.
  • Visitors to Local AI Hero's own websites, including people who talk with the Website Ambassador on localaihero.com.

Our role. When our AI handles calls and chats with a business customer's End Customers, we process that information on the business customer's behalf as a service provider and processor. The business customer owns that Customer Data and is the controller (or "business," as applicable under state privacy law), as described in Section 9 of the Terms of Service and Section 7 of the Privacy Policy. When you interact with Local AI Hero's own websites, Local AI Hero handles your information as described in the Privacy Policy.

2. What Our AI Systems Collect

Depending on the plan and how it is configured, our AI systems may collect the following.

2.1 Calls

  • Call audio and call recordings
  • Transcripts of calls
  • Voicemail messages and their transcripts
  • Caller phone numbers and caller ID information
  • Call details such as date, time, duration, the number called, and whether the call was transferred or escalated

2.2 Website chats and the Website Ambassador

  • Website chat transcripts
  • Voice and text interactions with the talking Website Ambassador, including audio, transcripts, and related metadata
  • Technical data described in Section 2.1 of the Privacy Policy

2.3 Information End Customers share

  • Names, phone numbers, and other contact details
  • Job type, urgency, and other details shared on calls or chats
  • Lead records and conversation logs
  • Outbound call or campaign interaction records, where included in the plan and configured by the business customer

2.4 Calendar and booking data

  • Appointment and scheduling details
  • Calendar availability and connection details the business customer authorizes

2.5 Business information and playbook content (business customers)

  • Customer Materials provided at Intake, such as services, hours, service area, approved answers, escalation rules, never-promise lists, brand assets, and phone numbers
  • For the AI Employee, owner interview content used to build the business playbook, and the content of the monthly Source of Truth document

2.6 Reviews and social content (AI Employee)

  • Reviews and review text from platforms the business customer connects, such as Google Business Profile
  • Social posts, blog posts, Google Business Profile posts, review requests, and review replies, including drafts and publishing logs
  • Revenue Recovery campaign content and interaction records

We ask that callers and visitors not share sensitive personal information on calls or chats. See Section 2.8 of the Privacy Policy.

3. How Our AI Uses and Processes Information

3.1 Processing steps.

Our Services use automated systems, including third-party AI, voice, and telephony providers, to:

  • Convert speech to text. Call and Website Ambassador audio is transcribed so the AI can understand it and so the conversation can be logged.
  • Generate replies. Language models produce text replies, which voice synthesis converts into spoken responses with custom voices.
  • Summarize. The AI may create summaries of calls, chats, and voicemails for the business customer.
  • Qualify leads. The AI asks questions and records answers under rules the business customer approves, such as job type and urgency.
  • Book appointments. The AI checks calendar availability and books appointments on the connected calendar.
  • Transfer and escalate. The AI transfers calls live or escalates urgent calls under rules the business customer approves.
  • Generate content (AI Employee). The AI drafts blog posts, social posts, Google Business Profile posts, review requests and replies, Revenue Recovery campaigns, the business playbook, and the Source of Truth document, using Customer Materials and approved information.

3.2 Limits on what the AI does.

The AI introduces itself as AI. It takes a message rather than guessing prices or availability, and it cannot enter into contracts, make binding offers, or make promises beyond the answers and rules the business customer approves. See Sections 8 and 10 of the Terms of Service.

3.3 Mistakes.

AI systems can make mistakes, misunderstand callers, or generate incorrect content. Business customers should review approved answers and material AI Outputs, as described in Section 10 of the Terms of Service.

4. AI Disclosure and Consent

4.1 AI disclosure.

The AI introduces itself as AI on calls and chats. Business customers may not configure or use the Services to present the AI as a human where disclosure is required by law or by the Terms of Service (Terms Section 12).

4.2 Business customer responsibility.

Each business customer is responsible for giving any notice and getting any consent its callers and website visitors are owed under the law, including:

  • Notice of and consent to call recording, including in states that require consent from every party to a call (often called two-party or all-party consent states)
  • Disclosure that the caller or visitor is talking with AI, where required
  • Consent for outbound calls and texts, including under the Telephone Consumer Protection Act and Do-Not-Call rules

Recording and AI disclosure settings should match the notices and consents the business customer puts in place. We operate the systems under the business customer's configuration and instructions. We do not provide legal advice on recording consent, AI disclosure, or the TCPA (Terms Section 11).

5. Your Rights and Choices

5.1 Rights.

Depending on where you live, you may have rights to access, correct, or delete personal information, and the other rights listed in Sections 10 and 11 of the Privacy Policy.

5.2 Callers and visitors of our business customers.

If your information was collected because you called or chatted with a Local AI Hero customer's AI, please contact that business first. The business owns that data and decides how to respond. We will help route your request to the right business when you tell us which business you contacted, and we will assist the business in responding.

5.3 How to make a request.

Email support@localaihero.com with the subject line "Privacy Request," or contact us at the address in Section 8. Please include the business you contacted (if any), the phone number or email you used, and the approximate date of the call or chat, so we can find the records. We will verify your request as required by law. You may use an authorized agent where permitted; we may require proof of authorization.

6. Children

The Services are directed to businesses and adults. We do not knowingly collect personal information from children under 13 (or under 16 where that is the relevant standard), and business customers should not configure the AI to target children. If you believe a child has shared personal information on a call or chat, contact support@localaihero.com and we will take appropriate steps to delete it (Privacy Section 12).

7. Changes to This Policy

We may update this Policy from time to time, for example when we add or change providers. We will post the updated Policy with a new Effective Date and, for material changes, provide additional notice when reasonably appropriate, including by email or through the customer login for business customers. Continued use after the effective date means you acknowledge the updated Policy, except where law requires a different process.
